Administrative Assistant


The position provides high-level administrative support to executives on our Business Development team and Human Resources team by conducting research, preparing statistical information and reports, driving strategic planning initiatives, handling information requests and performing support functions such as preparing correspondence, arranging conference calls, travel and scheduling meetings for executives.

Essential Functions

  1. Maintain CRM including, but not limited to, manage mailing lists, personnel updates, update meeting notes, track opportunities, complete project closeout (Curate and Cosential software)
  2. Assist in the submission and tracking of proposals and conference submissions, including setting up opportunities in company project management and CRM database (currently Cosential); and maintaining the opportunity, CRM and conference pipelines
  3. Develop operational contacts, which will provide needed support for the tasks undertaken by the organization’s business development team
  4. Work with HR and others to keep personnel up to date with memberships and licensing; tracking information in matrix
  5. Assist with the monitoring and reporting of the departmental KPIs (including generating data to be used in reports)
  6. Assist with business development events and meetings, including research, planning, coordination of calendar of events and attendees and execution of firm events
  7. Assist Human Resources with various tasks as assigned
  8. Work with Marketing to design event invitations, research and order event promotional items and materials
  9. Attend events, trade shows and dinners representing VJS, sometimes after hours
  10. Perform post-event follow-up tasks as requested
  11. Research and preparation of documents related to research
  12. Creating documents and related materials including preparing reports, memos, letters and other documents using Microsoft Office
  13. Perform various tasks, like recording minutes during meetings. Answer phone calls, screen and take messages for executives, when necessary
  14. Make travel arrangements for executives including registrations for conferences and events

  4. Exercise good judgment when dealing with employees, maintaining the integrity of highly confidential business information.
  5. Must be able to multi-task, plan and organize work effectively, analyze problems, propose reasonable solutions and carry-out decisions made.
  6. This position acts as the administrative point of contact between the executives and internal/external clients and will work closely with all managers, personnel and supervisors of the Company on a regular basis.
